What Expenses Can an LLC Deduct?

An LLC can generally deduct qualifying ordinary and necessary costs of operating its business, subject to the rules for the particular expense and the LLC’s tax classification. Forming an LLC does not make personal spending deductible or allow every purchase to be deducted immediately. IRS: Tax Guide for Small Business
The better question is not simply, “Did the LLC pay for it?” Ask what the expense was for, how it relates to the business, and how the tax rules treat it.
What does “ordinary and necessary” mean?
An ordinary expense is common and accepted in the business’s field. A necessary expense is helpful and appropriate for the business; it does not have to be indispensable. Personal, living, and family expenses are generally excluded. IRS: Business expenses, Internal Revenue Code section 262
What kinds of costs commonly qualify?
Depending on the business, potential deductions include:
- Rent and other qualifying costs of business premises.
- Business insurance, supplies, and operating services.
- Advertising and professional services connected to operations.
- Qualifying compensation and payments for business services.
- Eligible business travel and transportation.
Specific limitations and capitalization rules can change the treatment. For example, fees associated with acquiring an asset may need to be included in its cost rather than treated as a current operating expense. Internal Revenue Code section 162, IRS: Business expense resources
What needs separate analysis?
| Purchase or payment | Question to resolve |
|---|---|
| Computer, equipment, or furniture | Is the cost capitalized, depreciated, or eligible for an accelerated deduction? |
| Vehicle or mixed-use service | What portion is business use, and what documentation supports it? |
| Home office | Does the use meet the applicable requirements? |
| Meals | Does the expense qualify, and what limitation applies? |
| Costs incurred before opening | Do startup or organizational-cost rules apply? |
These categories cannot be handled correctly just by selecting an expense label in bookkeeping software. IRS: Depreciation, IRS: Travel and vehicle expenses, IRS: Home office, IRS: Starting a Business and Keeping Records
Can I deduct money I take out of my LLC?
For an individual owner whose single-member LLC is disregarded, taking an owner’s draw does not create a wage deduction. The activity is generally reported on the owner’s return. Corporate taxation changes the analysis, so compensation and distributions should be handled according to the actual tax classification. IRS: Single-member LLCs
What records make the deduction easier to support?
Keep invoices, payment records, and a clear explanation of the business purpose. Separate personal use and identify assets, loans, and owner transactions before the tax return is prepared. IRS: Business records
For example, an office internet bill and a family streaming subscription may both be paid online, but the payment method says nothing about whether either cost qualifies. Review what was purchased and how it was actually used.
